Summary

As our Program and Communications Associate you will be responsible for providing comprehensive support and coordinating the organization’s administrative and communications operations. You’ll work remotely and in-person (for special events only). Reporting into the Executive Director, this dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. In addition, you’ll serve as the first point of contact for phone and email inquiries, assist with the coordination of virtual and in person meetings, support member retention and recruitment efforts, maintain contact lists, coordinate website content updates, prepare electronic and hard copy communication. You’ll also be involved in other administrative duties, including basic bookkeeping and managing social media platforms.

Responsibilities

Complete a broad variety of administrative tasks that facilitate the Executive Director’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports and presentations; collecting and preparing information for meetings with staff and outside parties, including legislators; scheduling and setting up meetings; taking and producing written summaries of meetings and weekly activities; composing and preparing correspondence; maintaining contact lists; answering main phone line and responding to email inquiries in a timely manner; basic bookkeeping; file management; and required compliance reporting to the Secretary of State (lobbying and annual reporting).

Manage all aspects of the organization’s social media content, including Facebook, Twitter, and LinkedIn, and the organization’s website.

Coordinate and support activities performed by external contractors such as senior advisors, graphics and website designers, and accountants.

Provide lead event management support for special events, such as the annual conference, affiliate member activities, quarterly online meetings, and the annual meeting.

Other projects/duties as assigned for the overall benefit of the organization.

Qualifications/Experience

Successful candidates will possess the following qualifications:

  • 2+ years of executive support experience or 5 years administrative experience. Non-profit
    experience preferred.
  • High degree of professionalism in dealing with diverse groups of people, including Board
    members, senior executives, staff, and public officials.
  • Ability to complete a variety of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Expert proficiency with Microsoft Office; desktop publishing preferred; ability to design and edit graphic presentations and materials.
  • Basic understanding of bookkeeping using QuickBooks online accounting software.
  • Strong verbal and written communications skills.
  • Exceptional organizational skills, impeccable attention to detail, and excellent judgment, and the ability to switch gears at a moment’s notice are essential.

This permanent, part-time (20 hours per week) position is an outstanding opportunity for an independently motivated professional to assume a pivotal role in the evolution of a fast-growing,
highly-respected organization. As such, compensation for this role is competitive.

Base compensation: $25.00 – $30.00 per hour, approximately $30,000 annually for the part- time position.
Flexible scheduling. This is a hybrid position requiring in person participation for key meetings and special events only.
